Booking a room

From the map or the agenda

Rooms are drawn on the same floor plan as the desks. Tap one on the map, or add it from the day in your agenda.

Invite teammates

Add the people you need. Each gets an email with a calendar file, so the meeting drops straight into their own calendar, and they can accept or decline in one click.

Rules for rooms

Limit how long a room may be booked, how far ahead, and who may book it, separately from desks.

Optional check-in

Require check-in when the meeting starts and release the room if nobody turns up.

Two-way calendar sync

Link each room to its calendar once. From then on Deskdragon and the calendar keep each other honest.

Bookings push to the calendar

A booking in Deskdragon goes onto the organiser's calendar and invites the room, so Outlook or Google Calendar shows it exactly as if it had been booked there.

Calendar changes pull back in

Bookings, moves and cancellations made on the room calendar are picked up by Deskdragon, so the floor plan always shows the real state of the room.

Double bookings get flagged

If the calendar accepts two overlapping bookings, both organisers are emailed and the room shows the conflict until one booking is moved.

Health you can see

The connections page shows every linked room, when it last synced and whether it needs attention. A Verify button checks the connection without changing anything.

Frequently asked questions

Which calendars does it sync with?
Microsoft 365 room mailboxes and Google Workspace calendar resources. Each room in Deskdragon is linked to one calendar, and you can see the health of every link on the connections page.
What if someone books the room straight in Outlook or Google Calendar?
Changes made on the room calendar are pulled into Deskdragon on the next sync, so the room shows as busy on the floor plan. If two bookings end up overlapping, both organisers get an email.
How do invitations work?
When you book a room you can invite teammates. Each one gets an email with a calendar file, and can accept or decline from the email or from the booking in Deskdragon.
Is there check-in for rooms?
Optionally. If your company turns it on, colleagues check in when the meeting starts, the same way they do for a desk.
